Acceptable Use Policy

This Acceptable Use Policy (“Policy”) governs how schools, administrators, staff, teachers, parents, guardians, and students (“users”) may use the kidHQ platform. By accessing or using kidHQ, you agree to this Policy. Schools are responsible for ensuring all authorized users comply with this Policy.
1. Permitted uses
kidHQ may be used solely for lawful educational and administrative purposes in connection with a school's legitimate operations. Permitted uses include sending announcements and communications to school families, processing school-related forms and payments, managing student and household records, coordinating school community activities, and communicating between school staff, parents, and guardians.
2. Prohibited uses
Users may not use kidHQ to: transmit content that is unlawful, threatening, abusive, harassing, defamatory, obscene, or otherwise objectionable; impersonate another person or entity; distribute spam, bulk unsolicited messages, or automated communications without authorization; upload or transmit malware, viruses, or other harmful code; attempt to gain unauthorized access to any account, system, or network; scrape, crawl, or extract data from the platform without written consent; use the platform for commercial solicitation unrelated to the school's educational mission; or violate any applicable law or regulation.
3. Student data
Users who handle student data through kidHQ — including administrators, staff, and teachers — are responsible for ensuring that their use of student data complies with FERPA, COPPA, and applicable state law. Student data may not be used for personal purposes, shared outside the platform without school authorization, or retained beyond the scope of the user's role.
4. Content standards
All content submitted to kidHQ — including announcements, messages, form responses, and media uploads — must be accurate, appropriate, and lawful. KIRUNIVERSE LLC reserves the right to remove content that violates this Policy or applicable law, and to suspend or terminate access for users who repeatedly violate content standards.
5. Account security
Users are responsible for maintaining the confidentiality of their login credentials. You must not share your account credentials with any other person. You must notify your school administrator and KIRUNIVERSE LLC at privacy@kiruniverse.com immediately if you suspect unauthorized access to your account.
6. Moderation
kidHQ includes content moderation tools that schools may configure to flag or block content containing specific terms. KIRUNIVERSE LLC may also review flagged content for compliance with this Policy. We will notify the relevant school administrator of any content removed or action taken under this Policy.
7. Enforcement
Violations of this Policy may result in content removal, account suspension, or termination of access, depending on the nature and severity of the violation. KIRUNIVERSE LLC reserves the right to take action with or without prior notice in cases involving immediate risk to users or the platform. Schools are responsible for their users' compliance and may be held accountable for violations by users they have authorized.
8. Reporting violations
To report a suspected violation of this Policy, contact your school administrator or email us at privacy@kiruniverse.com. We will investigate all reports and take appropriate action.
9. Changes to this policy
We may update this Policy from time to time. Material changes will be communicated by email to school administrators. Continued use of kidHQ after the effective date of any update constitutes acceptance of the revised Policy.
